Hygiene and Infection Protection Strategy

The IAA Mobility will take place from 7 to 12 September 2021. A comprehensive protection and hygiene strategy applies throughout the event area. All the information about the measures can be found on this page. All measures are developed in close cooperation with the responsible authorities and will be continuously adapted in order to respond to the current COVID-19 pandemic development in the best possible way.

Protecting our exhibitors and visitors is our highest priority, which is why, together with Messe München, we always keep an eye on current developments in the pandemic situation, review them and make any necessary adjustments. To give exhibitors the fundamental planning security for designing their stand area, the following documents provide all hygiene protection information:

  1. Central information sheet about the hygiene and infection protection strategy for the IAA Mobility as of May 2021: Summit & Open Space Extended  /  Open Space
  2. FAQ COVID-19: Summit & Open Space Extended  /  Open Space
  3. Checklist for the IAA presentation, which is intended to provide assistance with observing the requirements and the hygiene strategy: Summit & Open Space Extended  /  Open Space

Exhibitor FAQ COVID-19 - Summit & Open Space Extended

On the trade fair site

Social distancing of at least 1.50 meters between two people must be supported and enabled as well as possible. Interaction points for a longer customer exchange (5+ minutes) are to be designed in such a way that the minimum distance of 1.50 meters can always be maintained. Where this distance cannot be maintained, measures are to be implemented (such as setting up protective panels for hygiene) that are equally effective in protecting against infections. Admission is restricted to the turnstiles. This way we are always informed about how many people are on the event area. The authorities’ requirements regarding the number of visitors allowed can therefore be met. This maximum number of visitors is always based on the size of the event area, thus ensuring the necessary conditions for maintaining the minimum distance of 1.5 meters.

On public transport

For visitors arriving by public transport, the current rules regarding local public transport apply.

At hubs

At known hubs such as the entrance area or cloakroom where lines can occur and large numbers of visitors congregate, special rules will apply, and the floor will be marked accordingly. Employees of Messe München and its service providers will also receive infection protection training.

In forum areas

The minimum distance of 1.5 meters also applies in forum and conference areas. Measures such as special access controls and suitable seating etc. will ensure that the minimum distance can be maintained at all times.

Ventilation

Messe München has its own ventilation concept. Our exhibition halls and the ICM – International Congress Center Munich are equipped with modern ventilation systems that operate with the highest possible proportion of fresh air and the lowest possible proportion of circulating air. In addition, the indoor air is increasingly replaced by fresh outdoor air.

Mouth and nose cover – indoor areas

At present, a mouth and nose cover must be worn permanently throughout the exhibition center – even at the stand area. According to official guidelines, this currently refers to FFP2 masks.

Mouth and nose cover – outdoor areas

If the minimum distance of 1.5 meters cannot be maintained, a mask must be worn in outdoor areas on the exhibition grounds, e.g. the atrium. According to official guidelines, this currently refers to FFP2 masks.

Mouth and nose cover – at trade fair stands

At present, a mouth and nose cover must be worn permanently throughout the exhibition center – even at the stand area. According to official guidelines, this currently refers to FFP2 masks.

Hygiene at trade fair stands

The exhibitor creates a hygiene concept for the construction and dismantling, as well as for the duration of the trade fair that can be printed out on site. Among other things, the exhibitor must name a person present at the stand as a contact person for ensuring compliance with the hygiene and distancing rules, as well as the disinfection of useful areas. Exhibitors are required to maintain regular hygiene, e.g. of exhibits. Our service partners offer support here.

Sanitary areas and cleaning

Our sanitary facilities will be cleaned at regular intervals. Hand washing and disinfection facilities with adequate distancing are provided.

Disinfectant dispensers and cleaning

Disinfectant dispensers will be provided at all key locations on the site. Surfaces which are touched regularly (e.g. counters, tables, handrails) will be cleaned more often.

Doors

All doors with the exception of fire doors will be kept open at all times in order to reduce contact with surfaces.

Traceability in the event of an infection

By purchasing a ticket or using their visitor ticket, exhibitor pass or service partner pass, all participants have registered in advance in order to receive their access authorization. This ensures that contact can be made immediately with the event participants if a coronavirus infection is known.

Tracing at trade fair stands

If infections stabilize at a low rate, masks may be removed at tables at trade fair stands provided that the minimum distance of 1.5 meters can be maintained safely. In this case, the exhibitor must collect separately the contact details of anyone who takes part in a conversation (surname, name, address, telephone number or e-mail address, dates of stay).

The exhibitor is free to decide how this registration is carried out: Either with a digital registration tool of their own or with a lead tracking solution that Messe München makes available to its exhibitors free of charge. Registration is carried out by scanning the barcode/QR code on the attendance ticket. Alternatively, the data can be entered manually, e.g. using a list or business card.

Should the exhibitor carry out visitor tracking using their own system (digitally or manually) rather than the Lead Tracking System of Messe München GmbH, the exhibitor must keep the documentation safe to ensure that it cannot be viewed by third parties and that data are protected against unauthorized or unlawful processing, unintentional loss or unintentional damage. The data must be retained for this purpose for one month. The data collected from visitors may only be collected, saved and used for the purpose of determining contact persons in the event of a COVID-19 infection. After the retention period of one month has elapsed, the data are to be deleted/destroyed. The exhibitor is obliged to forward the collected visitor data to Messe München GmbH if there is a relevant request for information from the responsible health authority. Messe München GmbH will then forward the data to the responsible health authority. When data are collected, the exhibitor shall inform in a suitable manner those concerned regarding data processing in accordance with the data protection requirements set out in Art. 13 of the Regulation (EU) 2016/679.

Coronavirus hotline

Exhibitors can call the Messe München hotline if they have any questions about the safety and hygiene concept, by phone (+49 89 949 11400) or e-mail at corona.support@messe-muenchen.de. The service times are as follows: Monday to Thursday 09:00 to 17:00 and Friday 09:00 to 16:00.

Number of visitors

For the organizer there is a benchmark for persons, which is based on the venue space. Measured by the number of visitors to our own trade fairs in recent years and due to the size of the available venue space, no visitor restrictions can be assumed.

Catering

In the catering areas of Messe München, the general rules of Bavarian gastronomy apply. You are also welcome to set up your own catering area at your trade fair stand. The rules of Bavarian gastronomy also apply to this area.

Catering

Catering at trade fair stands is allowed. The regulations for Bavarian catering establishments apply – our service partners are familiar with these. It is also allowed to providing catering at the stand itself. Food and drink counters should be equipped with protective devices, and food and drinks should only be served by service or buffet staff. Self-service food and drink buffets are not allowed. If employees serve food or beverages, they should be instructed and trained to observe the infection preven-tion measures.

Stand construction

A fact sheet on the topic of stand construction is available on the Messe München website under this link: information stand constructor.

Parking

Messe München has a parking concept with enough parking spaces. Thanks to big events, we are experienced in organizing increased traffic.

Medical care

During events, medical staff is on hand at all times, from setup throughout the entire trade fair and stand dismantling period. The first-aid stations are located in the main entrances West and East, as well as in Hall C4, depending on hall occupancy. Paramedics and physicians will treat medical emergencies directly on site. If necessary, they are assisted by the public rescue service (ambulance). There is also a hygiene official on site.

Rapid tests / proof of test / proof of immunization

There are currently a range of initiatives and field tests at a regional level on this topic. We will continue to monitor this development and implement possible official requirements accordingly.
